How much a bookkeeper costs in the United States and what drives the price up

Bookkeeping pricing is not a table, it is a calculation. And it has five variables you can measure today.

Bookkeeping for a small business in the United States usually falls between 200 and 800 dollars a month, and five variables decide where you land: transaction volume, number of accounts to reconcile, closing frequency, industry complexity and level of support. A company with 60 transactions and one bank account costs a fraction of one with 700 transactions, four accounts and weekly meetings. That is why a fixed price table almost always hides a scope limit.

The five variables that set the price

1. Transaction volume

The heaviest factor. Every transaction has to be categorized, checked and tied to the document behind it. A company with 60 entries a month and one with 600 are not the same work, however similar the revenue looks.

To estimate your volume, count the lines on last month's bank and card statements. That is the number any serious proposal asks for first.

2. Number of accounts to reconcile

Each bank account, each credit card, each payment account like PayPal or Stripe is a separate reconciliation. A company with one account and one card is far simpler than one with three accounts, two cards and a payment processor.

3. Closing frequency

Monthly closing is standard. Restaurants and retail with daily volume usually need weekly or even daily reconciliation, because a cash discrepancy that sits for thirty days becomes a hole nobody can explain anymore.

4. Industry complexity

Some industries require an extra layer of organization, and it is not optional if you want useful information.

  • Construction. Cost separated by job, subcontractor control, W-9s and 1099 preparation.
  • Law firms. Reconciliation by case, receivables aging management and the trust account kept apart from operating.
  • Restaurants. Food cost by category, daily cash close, tips and sales tax separated from the moment of entry.

5. Level of support

Here the gap is wide. Getting a report by email on the tenth is one service. Having someone available every week to look at cash with you before you set a price or make a hire is another. The first is execution, the second is management.

What is usually excluded and becomes an extra cost

  • Initial clean up. If your books are behind, bringing them up to date is a separate project from the monthly fee.
  • QuickBooks setup. A chart of accounts fit for the industry, account connections and initial configuration.
  • Payroll. Processing itself usually stays with your payroll provider, and the bookkeeper reconciles the cost in the books.
  • Tax filing. That is the accountant or CPA's work, billed separately.

How to work out whether it is worth it

Run the math from the other side. Take how many hours a month you currently spend on statements, receipts and spreadsheets. Multiply by the value of your own hour, the one you charge a client or that earns when you are selling instead of reconciling.

In most cases the owner is spending 8 to 15 hours a month on a badly done financial routine. If your hour is worth 60 dollars, that is 480 to 900 dollars a month of cost that shows up nowhere, done by someone outside the field, at the end of the day, tired.

And that is before the bigger cost, the decisions made without information: the price that stayed low for two years, the job that lost money and nobody noticed, the client who consumes more than they pay.

Why is the price not published on the site?

Because it depends on transaction volume, number of accounts, closing frequency, industry and level of support. A fixed table would force overcharging low volume clients or limiting scope for high volume ones. The price comes after the first conversation, which takes twenty to thirty minutes and costs nothing.

Is there a minimum contract?

The monthly plans are recurring and can be ended with notice. If you want to try before committing to a monthly routine, the three month Diagnosis has a fixed scope and timeline.

Does bookkeeping include tax filing?

No. GS Brasil does not calculate or file taxes, that is the accountant or CPA's work. What we deliver is the closed and checked material they use, which usually cuts what they charge considerably.

My books are behind. Does that change the price?

It changes the start, not the monthly fee. Bringing late months up to date is a separate project with its own scope, and after it the monthly routine runs at the normal price.
